Who we are
Minhaj-ul-Quran International UK ("MQI UK", "we", "us") is a registered charity in England & Wales (no. 1102801) and Scotland (no. SC045860). Our registered head office is 292β296 Romford Road, Forest Gate, London E7 9HD.
For data protection purposes we are the data controller of personal data you provide to us. Our contact for data matters is info@minhaj.uk.
What personal data we collect
Depending on how you interact with us, we may collect:
- Identity & contact details β your name, title, date of birth, address, email, phone number, and (for membership) place of birth, nationality, profession, and qualifications.
- Membership data β your membership number, signed covenant of membership, and renewal history.
- Donation data β donation amounts, dates, payment method (last four digits of card / bank transfer reference), and Gift Aid declaration.
- Volunteer data β your areas of interest, availability, skills, and (where required for the role) a DBS check result.
- Communications data β the content of any enquiries, feedback, or correspondence you send us.
- Technical data β your IP address, browser type, and pages visited on this website (see Cookies below).
We do not knowingly collect special category data (such as religion, health, ethnicity) unless you choose to provide it (for example, in volunteer applications).
Why we collect it and our lawful basis
Under UK GDPR we must have a lawful basis for processing your data. We rely on the following:
- Consent β for marketing communications, optional surveys, and where you explicitly tick a consent box.
- Contract β to manage your membership, process your donations, and deliver events you've registered for.
- Legal obligation β to comply with Charity Commission, HMRC (including Gift Aid), and other regulatory reporting.
- Legitimate interests β to respond to enquiries, improve our services, and protect against fraud and abuse.
Who we share your data with
We do not sell your personal data to anyone. We only share it with:
- Trusted service providers who help us run the website, send emails, and process payments. These include hosting providers, email delivery services, and payment processors. Each is bound by a data-processing agreement.
- Our centres and forums when you've asked to be put in touch with a local team (for example, as a volunteer or member).
- Regulators and authorities when required by law, such as HMRC for Gift Aid claims and the Charity Commission for our annual reporting.
Where data leaves the UK, we ensure transfers are protected by appropriate safeguards, including UK adequacy regulations, the International Data Transfer Agreement, or other approved mechanisms.
How long we keep it
We keep personal data only as long as we need it for the purposes set out above:
- Membership records β for the duration of your membership plus 7 years (to meet our charity-reporting obligations).
- Donation records β at least 7 years for HMRC and Gift Aid compliance.
- Volunteer applications β 12 months from your last activity, then deleted or anonymised.
- Enquiry correspondence β 2 years from your last contact.
- Website analytics β as set out in Cookies.
Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you ("subject access request").
- Have inaccurate data corrected.
- Have your data erased in certain circumstances ("right to be forgotten").
- Restrict or object to our processing.
- Receive your data in a portable format.
- Withdraw consent at any time where consent is the lawful basis.

Cookies and similar technologies
This website uses a small number of cookies. We group them into the following categories:
Strictly necessary

How we keep your data secure
We take security seriously. Measures we have in place include:
- HTTPS encryption across the whole website.
- Restricted, role-based access to membership and donation records.
- Multi-factor authentication on staff accounts.
- Regular backups, kept encrypted and stored separately.
- Payment processing handled by PCI-DSS-compliant providers β we never store full card details.
- A documented incident-response plan to act quickly if anything goes wrong.
If we suffer a data breach that puts your rights at risk, we will notify you and the Information Commissioner's Office (ICO) within 72 hours, as the law requires.
Children & minors
Our services are available to all ages, but for anyone under 16 we require a parent or guardian's consent before processing personal data. Volunteer roles involving young people or vulnerable adults are subject to a DBS check.
Changes to this policy
We may update this policy from time to time, for example when we add new services or change how we use data. We will publish the new version on this page and update the "Last updated" date at the top. Material changes will be highlighted by a banner on the homepage for at least 30 days.
